Getting Started

Everything you need to set up your account and close your first deal with LoanPulse.

📖 Setup & Onboarding

How do I create my LoanPulse account?

Visit loanpulse.com/signup and enter your name, email, and company name. You’ll receive a confirmation email within 60 seconds. Click the link to activate your account and you’ll be guided through our 5-minute onboarding wizard that configures your pipeline, imports contacts, and sets up your first automation sequence.

How do I import my contacts from another CRM?

Go to Settings → Import and upload a CSV file. LoanPulse automatically maps common fields (name, email, phone, loan amount, stage). For Salesforce, HubSpot, and Velocify imports, we offer direct API migration — contact support and we’ll handle it for free. Most imports complete in under 5 minutes for up to 10,000 contacts.

How long does onboarding take?

Self-serve onboarding takes about 15 minutes. If you’d like done-for-you setup (included free on every plan), our onboarding team will schedule a 30-minute call to configure your pipeline stages, import contacts, build your first automation sequences, and connect your lead sources. Most customers are fully operational within 24 hours.

Can I customize my pipeline stages?

Yes. Go to Settings → Pipeline to add, rename, reorder, or remove stages. LoanPulse comes pre-configured with mortgage-specific stages (New Lead, Pre-Qualified, Application, Processing, Underwriting, Clear to Close, Funded), but you can modify them to match your exact workflow. Changes apply instantly across desktop and mobile.

How do I connect my lead sources?

Navigate to Settings → Integrations → Lead Sources. LoanPulse integrates with Zillow, LendingTree, Bankrate, Google Ads, Facebook Leads, and custom webhooks. Each integration includes step-by-step setup instructions. Once connected, new leads flow directly into your pipeline and trigger your assigned automation sequence automatically.

📱 Mobile App Setup

How do I download the Mobile app?

Search “LoanPulse” in the App Store (iOS) or Google Play (Android). Download the app and sign in with your existing LoanPulse credentials. Your pipeline, contacts, and settings sync automatically. The app is under 50MB and supports iOS 15+ and Android 12+.

How do I enable push notifications?

On first launch, the app will ask for notification permission — tap Allow. If you missed this, go to your phone’s Settings → Notifications → LoanPulse and enable them. Inside the app, go to Settings → Notifications to customize which alerts you receive (new leads, appointments, stale deals, reviews, team mentions).

Does the app work offline?

Yes. LoanPulse caches your contacts, pipeline, notes, and recent activity on your device. When you lose signal, you can still view and edit this data. Changes sync automatically when you’re back online — no manual action needed. Offline mode works for viewing and editing; creating new leads requires an active connection.

How do I set up biometric login?

Open the app and go to Settings → Security → Biometric Login. Toggle on Face ID (iPhone), Touch ID (older iPhone/iPad), or fingerprint (Android). You’ll be asked to verify with your password once, then biometric login is active. The app also supports automatic session timeout after 15 minutes of inactivity for security.

Can I make calls and texts from the app?

Yes. Tap any contact to call, text, or email. Calls use your phone’s native dialer but are automatically logged in LoanPulse with duration and timestamp. SMS messages are sent through LoanPulse’s built-in messaging system so they’re tracked in the contact’s communication history. Templates auto-populate based on the lead’s pipeline stage.

📋

Pipeline & CRM

Managing deals, contacts, and your sales process.

📊 Pipeline Management

How do I add a new deal to my pipeline?

Click the + New Deal button at the top of your pipeline view. Enter the borrower’s name, email, phone, loan amount, and loan type. Select the starting stage and assign the deal to a loan officer (if on a team plan). The deal appears instantly in your pipeline and triggers any automation rules tied to that stage.

How do I move deals between stages?

On desktop, drag and drop deal cards between pipeline columns. On mobile, tap the deal → tap Move Stage → select the new stage. You can also use keyboard shortcuts (press M on a selected deal). Stage changes are logged in the deal timeline and can trigger automated actions like emails, texts, or task assignments.

What are stale deal alerts?

Stale deal alerts notify you when a deal hasn’t been updated or contacted within a time threshold you set per stage. Configure them in Settings → Pipeline → Stale Alerts. For example, set “Pre-Qualified” stage to 3 days — if no activity occurs within 3 days, you (and optionally your manager) receive a push notification and email.

Can I filter and sort my pipeline?

Yes. Use the filter bar above your pipeline to filter by stage, loan officer, lead source, loan type, date range, or deal value. You can also sort by newest, oldest, highest value, or most recently updated. Saved filters let you create custom views like “My hot leads this week” or “Stale deals over $300K” for quick access.

How do I track deal value and revenue projections?

Each deal has a Loan Amount and Commission % field. LoanPulse calculates projected commission automatically. Your pipeline summary shows total pipeline value, weighted forecast (based on stage probability), and projected monthly revenue. Access detailed forecasting in Reports → Revenue Forecast.

👤 Contacts & Communication

How do I view a contact’s full history?

Click any contact name to open their profile. You’ll see their complete timeline: every call, text, email, note, stage change, appointment, and document — all in chronological order. The profile also shows loan details, lead source, assigned officer, and tags. On mobile, tap the contact name from any screen for the same view.

Can I tag and segment my contacts?

Yes. Add custom tags to any contact (e.g., “VA eligible”, “first-time buyer”, “realtor referral”). Then use tags to filter your pipeline, build targeted automation sequences, or generate segmented reports. Go to Contacts → Tags to manage your tag library. Bulk-tagging is available via the contact list view.

How does the unified inbox work?

The inbox combines all SMS, email, and call log conversations into one stream. Each thread shows the full back-and-forth with a contact alongside their deal info. You can reply via any channel directly from the inbox. Unread indicators and priority flags help you focus on conversations that need attention first.

Can I add notes and documents to a contact?

Yes. Open any contact profile and click + Note to add text notes (also available via voice-to-text on mobile). For documents, click + Document to upload files. Supported formats include PDF, DOCX, JPG, and PNG. All notes and documents appear in the contact’s timeline and are searchable across your database.

How do I merge duplicate contacts?

Go to Contacts → Duplicates to see LoanPulse’s auto-detected duplicates (matched by email or phone). Click Review to compare records side by side, then choose which fields to keep. Click Merge to combine them into one record. All communication history from both records is preserved in the merged contact.

Automation & Workflows

Setting up drip sequences, triggers, templates, and automated actions.

🔄 Workflows & Sequences

How do I create an automation workflow?

Go to Automation → Workflows → + New Workflow. Choose a trigger (e.g., “new lead added”, “stage changed”, “tag applied”), then add actions (send email, send SMS, wait X days, assign task, move stage). The visual builder lets you drag and drop steps, add conditions (if/then branching), and preview the sequence before activating.

What triggers are available?

Available triggers include: new lead created, deal stage changed, tag added/removed, form submitted, appointment scheduled, appointment completed, deal value changed, contact birthday, loan anniversary, inactivity timer (no contact for X days), and webhook received. Pro and Enterprise plans also support custom API triggers.

How do drip sequences work?

A drip sequence sends a series of messages over time. Create one in Automation → Sequences. Define each step (email or SMS), set the delay between steps (hours or days), and choose when to stop (stage change, reply received, or manual removal). Contacts are automatically enrolled based on triggers you define.

Can I set up rate drop alert campaigns?

Yes (Pro and Enterprise plans). Go to Automation → Rate Alerts. Set a rate threshold (e.g., 6.50% for 30-year fixed). When rates cross that threshold, LoanPulse automatically identifies contacts in your database who could benefit from refinancing and sends them a personalized SMS and email campaign with estimated savings.

How many automation workflows can I have?

Starter plan includes 3 active workflows. Pro and Enterprise plans include unlimited workflows. There’s no limit on the number of steps per workflow or the number of contacts that can be enrolled. You can pause, duplicate, or archive workflows at any time without losing historical data.

📝 Templates & Messaging

How do I create email and SMS templates?

Go to Automation → Templates and click + New Template. Choose email or SMS, write your content, and insert merge fields (borrower name, loan amount, officer name, etc.) using the {{ }} syntax. Save the template and it’s available across all workflows, manual sends, and mobile quick-replies.

What merge fields are available?

Common merge fields include: {{first_name}}, {{last_name}}, {{loan_amount}}, {{loan_type}}, {{property_address}}, {{officer_name}}, {{officer_phone}}, {{stage_name}}, and {{company_name}}. Custom fields you create on contacts are also available as merge fields.

Can I schedule messages to send later?

Yes. When composing an email or SMS (manual or automated), click the clock icon next to the send button to schedule for a specific date and time. LoanPulse also has smart send-time optimization that can automatically deliver messages during business hours in the contact’s local time zone.

Are there pre-built templates I can use?

Yes. LoanPulse includes a template library with 50+ pre-written email and SMS templates for every pipeline stage: first contact, pre-qualification follow-up, application received, processing update, closing prep, post-closing thank you, review requests, and referral asks. You can use them as-is or customize to match your voice.

How do I stay TCPA compliant with automated texts?

LoanPulse includes built-in compliance features: opt-in tracking for every contact, automatic opt-out handling (reply STOP), send-time restrictions (8 AM – 9 PM in the contact’s timezone), and a DNC list check. All compliance records are logged for audit purposes. We recommend reviewing our TCPA Compliance Checklist for best practices.

Reputation Management

Reviews, ratings, and building your online presence.

How do automated review requests work?

When a deal moves to the “Funded” stage, LoanPulse waits 48 hours (configurable), then sends an SMS asking the borrower to rate their experience. Positive respondents (4-5 stars) are directed to leave a public review on Google or Zillow. Neutral or negative respondents are routed to a private feedback form first — this is the sentiment gate. Configure timing, messaging, and platform priority in Reputation → Settings.

What is the sentiment gate?

The sentiment gate is a two-step review process. Step 1: the borrower rates their experience on a simple 1-5 scale via SMS. Step 2: If they rate 4-5, they’re directed to post a public review. If they rate 1-3, they’re directed to a private feedback form where you can address their concerns before they go public. This reduces negative public reviews by an average of 68%.

How do AI review responses work?

When a new review is detected on Google, Zillow, or other monitored platforms, LoanPulse generates a personalized response suggestion using AI. The response is tailored to the reviewer’s name, specific comments, and star rating. You can edit, approve, or reject the suggestion before posting. Average response quality is rated 4.7/5 by users.

Which review platforms does LoanPulse monitor?

LoanPulse monitors Google Business Profile, Zillow, Yelp, Facebook, LendingTree, Bankrate, and BBB. New reviews from any platform trigger a push notification and appear in your Reputation dashboard. You can respond to Google and Facebook reviews directly from LoanPulse. Other platforms link you to the review for direct response.

How do I embed the review widget on my website?

Go to Reputation → Widget and customize the look (colors, layout, number of reviews shown). Copy the embed code and paste it into your website’s HTML. The widget pulls your latest reviews in real time with schema markup for SEO. It works with any website builder — WordPress, Squarespace, Wix, or custom HTML.

📊

Reporting & Analytics

Dashboards, lead source ROI, team metrics, and revenue forecasting.

What reports are available?

LoanPulse offers pipeline health reports, lead source ROI analysis, conversion funnel visualization, team performance leaderboards, revenue forecasting (best/expected/conservative), and custom date-range comparisons. Starter plan includes basic pipeline reports. Pro and Enterprise include the full analytics suite with automated report delivery.

How does lead source ROI tracking work?

LoanPulse automatically tracks which source each lead came from (Zillow, Google Ads, referral, etc.) and follows them through your pipeline to funding. The Lead Source ROI report shows cost per lead, cost per funded deal, close rate, and ROI multiplier for each source — so you know exactly where to increase or decrease ad spend.

Can I schedule automated reports?

Yes (Pro and Enterprise). Go to Reports → Scheduled Reports and choose the report type, frequency (daily, weekly, or monthly), recipients, and delivery format (email with PDF attachment or in-app notification). Popular setups include a Monday morning pipeline summary and a monthly lead source ROI review.

How does revenue forecasting work?

LoanPulse analyzes your pipeline data — deal values, stage probabilities, and historical close rates — to project revenue across three scenarios: best case, expected, and conservative. The forecast updates in real time as deals move through stages. Access it in Reports → Revenue Forecast for 30, 60, or 90-day projections.

How do team leaderboards work?

The leaderboard ranks loan officers by deals closed, revenue generated, close rate, average response time, and review scores. Branch managers can view their office; Enterprise admins can compare across branches. The leaderboard updates in real time and can be displayed on a TV dashboard in your office using the Reports → TV Mode feature.

Click “Forgot Password” on the login page and enter your email. You’ll receive a reset link within 60 seconds. The link expires after 1 hour for security. If you’re logged in, change your password in Settings → Account → Security. We recommend using a password manager and enabling two-factor authentication.

Does LoanPulse support two-factor authentication?

Yes. Go to Settings → Account → Security → Two-Factor Authentication. LoanPulse supports authenticator apps (Google Authenticator, Authy, 1Password) and SMS-based 2FA. Enterprise plans also support SSO (SAML 2.0) with identity providers like Okta, Azure AD, and Google Workspace.

How do I add team members?

Go to Settings → Team → Invite Member. Enter their email and assign a role (Loan Officer, Manager, or Admin). They’ll receive an invitation email to create their account. Pro plan supports up to 5 users; Enterprise offers unlimited. Each team member gets their own login, pipeline view, and notification settings.

Is my data secure?

Yes. LoanPulse uses TLS 1.3 encryption for all data in transit, AES-256 encryption for data at rest, and is hosted on AWS with SOC 2 Type II compliance. We perform regular security audits and penetration testing. Backups run every 6 hours. Enterprise plan includes additional features: compliance audit logs, role-based access controls, and remote device wipe.

Can I export my data?

Yes, at any time. Go to Settings → Data → Export. You can export contacts, deals, communication history, notes, and documents in CSV or JSON format. Exports are typically ready within a few minutes. Your data is yours — we never hold it hostage, even if you cancel.
